Privacy Policy

KX Pulse is a software platform for B2B service companies. We help customers discover businesses in their territories, analyze publicly available signals, enrich contact information, score buying intent, and prepare or send outreach.

For information about your own company and users, KX Pulse acts as a data controller. For prospect, company, and contact data that you instruct us to collect, store, and process on your behalf for sales and marketing, KX Pulse generally acts as a data processor and you act as the data controller. You are responsible for ensuring you have a lawful basis to collect and use that prospect data and to contact those businesses.

When you register for or use the Service, we may collect:

• Account information: name, email address, password (stored as a secure hash), company name, website URL, and authentication provider details.
• Business configuration: industries, territories, service offerings, pricing, certifications, keywords, competitors, trigger preferences, and other onboarding or settings data you provide.
• Usage and operational data: scan jobs, lead scores, pipeline stages, outreach drafts, send results, in-app notifications, and similar activity generated through your use of the Service.
• Integration data: OAuth tokens and connection settings for email providers (such as Outlook), CRM systems (such as HubSpot or GoHighLevel), and partner single sign-on (such as Pregrox), where you choose to connect them.
• Support and communications: messages you send to us and records of support requests.

To provide lead intelligence, we collect and store information about third-party businesses and contacts from public and licensed sources, including:

• Company profiles from mapping and business directory sources (for example, Google Places).
• Public website content from business websites, subject to robots.txt and reasonable crawl limits.
• Public web signals surfaced through search providers (for example, news, hiring, compliance, RFP, and similar business activity).
• Business contact details from enrichment providers (for example, Hunter.io).

This data may include company names, domains, addresses, phone numbers, employee counts, job titles, business emails, LinkedIn URLs, website text, trigger events, source URLs, AI-generated intent analysis, and lead scores. We associate this data with your tenant account so you can review and act on it.

We use the information described above to:

• Provide, operate, maintain, and improve the Service.
• Run territory scans, enrichment, scoring, and outreach features you request.
• Authenticate users, secure accounts, and prevent abuse.
• Send service-related notices, such as trial or account messages.
• Respond to support requests and enforce our Terms of Service.
• Comply with law and protect the rights, safety, and security of KX Pulse and others.

We use AI services to classify website content and generate outreach drafts. AI outputs are provided as suggestions and should be reviewed by you before use.

We do not sell your account information. We may share information:

• With service providers that help us operate the Service, such as hosting, database, search, enrichment, AI, email delivery, and authentication providers. These providers process data under our instructions and appropriate contractual safeguards.
• With integrations you enable, such as your connected email or CRM accounts, when you direct us to sync or send data.
• For legal reasons, if required by law, regulation, legal process, or governmental request, or to protect rights, safety, and security.
• In a business transfer, such as a merger, acquisition, or sale of assets, subject to this Privacy Policy.

The Service relies on third-party providers to function. Depending on your configuration and usage, these may include providers for cloud hosting and databases, web search, business data enrichment, AI processing, email delivery, OAuth authentication, and CRM synchronization. Data sent to these providers is limited to what is needed to perform the relevant function.

We do not use third-party advertising or analytics cookies on the marketing site or application at this time. For authentication and core functionality, the web application may store a session token and limited UI preferences in your browser's local or session storage. You can clear this data through your browser settings, though doing so may sign you out or reset certain preferences.

We retain customer account and configuration data for as long as your account is active or as needed to provide the Service. Prospect and lead data generated through your scans remains in your workspace until you delete individual records, scans, or your entire account.

You may delete your account from Settings. Account deletion removes tenant-owned data from our production systems, subject to limited backup retention and legal hold requirements.

We use administrative, technical, and organizational measures designed to protect information, including encryption for sensitive credentials such as email OAuth tokens. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Customers: You may access, update, or delete much of your account information through the Service. You may export lead data where the product provides export functionality. You may disconnect integrations at any time.

Businesses listed in the platform: If your organization appears in a customer's workspace and you want to opt out of future inclusion or request deletion of stored records, email privacy@kxpulse.com. We will process verified requests in accordance with applicable law, including state privacy laws such as the California Consumer Privacy Act (CCPA/CPRA) where applicable.

Depending on your location, you may have additional rights to access, correct, delete, or restrict processing of personal information. Contact us to exercise those rights.

KX Pulse is operated from the United States and intended primarily for U.S. B2B customers. If you access the Service from outside the United States, you understand that information may be processed and stored in the United States and other countries where our providers operate.

The Service is designed for business use and is not directed to children under 16. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy on this page and update the "Last updated" date. Your continued use of the Service after changes become effective constitutes acceptance of the revised policy.
